Remove S/MIME Encryption from Email on Save

What is S/MIME encryption?

S/MIME, or Secure/Multipurpose Internet Mail Extensions, is a technology that allows you to encrypt your emails to protect your emails from unwanted access. It also allows you to digitally sign your emails to verify you as the legitimate sender of the message.

Saving S/MIME encrypted emails

By default when you attempt to save an email that is S/MIME encrypted with MacroView DMF or Message the email will only be saved if you have the appropriate certificate configured in Outlook. This applies to saving emails in the following ways:

  • Drag and drop
  • Right-click Save Message to SharePoint
  • Save Message from the ribbon in Outlook
  • Save Message from the ribbon of an open email
  • Drag and drop from Outlook to DMF Explorer
  • As a result of matching an email filing rule

If the appropriate certificate is available in Outlook when saving the email or any of its attachments, then the Remove S/MIME Encryption from emails on Save setting in DMF Options > Office determines whether of not the encryption is removed before the emails is saved.

If the Remove S/MIME Encryption from Emails on Save is checked the encryption will be removed from the email before it is saved so that it can be re-opened by any user.  When a user double-clicks or right-click>Opens an email that has had it encryption removed before saving it SharePoint, the email will be opened as is – i.e. MacroView will not re-encrypt the email as as it is opened. Outlook itself may well re-encrypt as it forwards the email.

If Remove S/MIME Encryption from Emails on Save is not checked the email will be saved in its encrypted form meaning it will only be able to re-opened by the same user or another user with a valid certificate.

If Remove S/MIME Encryption from Emails on Save is checked but the email or any of its attachments cannot be saved because the certificate in Outlook is not valid, the email will not be saved and a warning message will be displayed.

The format and name of the saved email (MSG or EML) will determined by the Email Filename Format setting under DMF Options > Office. 

Note:  If an email has attachments but is not de-crypted, the attachments will be saved separately.

Configuration

The Remove S/MIME Encryption from emails on Save setting  can be set via the user registry using the following value:

HKEY_CURRENT_USER\Software\MacroView\DMF\UserOptions\RemoveSMimeEncryptionOnEmailSave

The S/MIME Encryption removal is off by default when you first install MacroView DMF or Message.
