The following article outlines how to update an existing document library to include the MacroView Email content type and Emails view.
Important
Before carrying out any of the steps below MacroView recommends contacting your SharePoint administrator(s) so they can review, test and approve these changes.
Pre-requisites
Install the MacroView DMS Provisioning extension.
Test and Validate
MacroView recommends testing the process below on a test library to validate the outcome.
Custom Solution
There may be scenarios where the process outlined below is not recommended, for example in environments where the content types are read-only as they have been published out via a content type hub, or the existing configuration requires a custom update library solution. Add the email content type and view to the Library
Right-click on the library in the DMS tree-view and select Provision > Add Library Components.
Select the MacroView Email Management solution.
Important: the "Clear MacroView DMS cache" step below is required to pick up the library changes.
Additional Steps
The following steps may be required depending on how your existing library has been configured.
Right-click on the library in the DMS tree-view and select "Open in Browser".
In the that opens, click the "cog" or "three dots" in the top right corner of the page to display a flyout menu, then select "Library Settings" or "Advanced Settings" depending on what is displayed.
Library Settings
In the library settings web page verify that the email content type is set to visible.
If the email content type is not set to visible then click the "Change new button order and default content type" link.
Set the email content type to visible.
If you have an existing document set content type in the library and want to save emails to the document set then the email content type will need to be added to the "Allowed Content Types".
Click on the document set content type in the list below.
Then click on "Document Set settings".
Add the email to the "Allowed Content Types".
Clear MacroView DMS cache
MacroView DMS caches library settings such as content types and fields in order to improve performance.
To load the new library settings please carry out the following steps:
[1] Close all applications (DMS Explorer, Outlook, Word etc).
[2] Right-click on the DMS Local Service icon in the Windows Tray and select "Clear Cache", then right-click a second time and select "Exit".
Test by uploading a new email to the library
Start Outlook and try uploading a new email to the library.
After uploading the email, right-click on the email in the DMS file list and select properties.
In the properties dialog, verify that the email content type has been applied and the email properties have been captured.
If the email content type has not been applied, please check that the following MacroView DMS setting has been set to "email".
