New Email

Purpose

The New Email plugin allows you to create a new email message via the tree view right-click menu in MacroView DMF and MacroView Message and optionally have the email subject pre-populated with metadata values from the selected location. 

This can be useful to automatically tag emails with:

  • classification information
  • project, matter or client number details
  • an identification tag that matches an incoming email filing rule 

  

If you have MacroView Corporate Email Filing enabled and the selected location matches a tag rule, the corresponding tag can be inserted automatically into the email subject.

How it works

New Email is available when you right-click on any library, folder or document set and will create a new blank email when selected. 

If you are using version 2.0 or later of this plug-in and all of the following conditions are true:

the email subject line will be pre-populated with the CEF filing tag associated with that location.

If you are using version 1.0 of this plug-in, or any of the conditions above are not true, then if the following conditions are true of the selected location:

  • The configured document set content type is available
  • The configured document set content type includes the the specified single line text metadata column or columns

the email subject line will be pre-populated with the metadata values in the configured format.

For example:

The user right-clicks on the document set for matter number 2105 where that matter number is stored on one of the document sets properties:

 

  

The resulting email's subject is pre-populated with the matter number with, in this example, square brackets [ ] around the number.

 

Installation

exclamationmark.png Important: New Email and CEF will only function when added to your MacroView DMF or Message license. Contact services@macroview.com.au to obtain a license for these plug-ins.  

Close Microsoft Outlook, DMF Explorer (if applicable) and the MacroView DMF Local Service then download and run the Map Choice to Folder installer that corresponds with your installation of Windows.

If after installing the plug-in it is not available refer to how to activate a licensed DMF or Message plug-in.

Configuration

Specify the document set content type name and internal metadata column name(s) as well as the prefix, suffix and separator in the registry under:

HKEY_CURRENT_USER\Software\MacroView\DMF\Customizations\MacroView\NewEmail

If more than one metadata column is to be added to the email subject, separate each internal column name with a comma.

To disable checking of CEF rules, change UseCEFRules to 0

In the above example above, if the location did not match a Corporate Email Filing tag rule and the Matter Document Set content type contained the internal column mvMatterNumber with value '123' the email subject would be pre-populated with [123].
