MacroView Mail allows you to save emails and attachments to SharePoint Online, Microsoft Teams and OneDrive from Outlook on modern devices.
Select email(s) and launch MacroView Mail
To save email(s) using MacroView Mail:
- Open Microsoft Outlook on your device
- Select the email(s) you want to save
- Note: MacroView Mail supports saving up to 100 emails a time using Outlook for Mac/Windows or Outlook on the web on desktop devices
Once you have selected your email(s), open MacroView Mail, depending on your device. See How to open MacroView Mail.
Select where to save
When open, MacroView Mail will display a list of:
- Locations based on your Microsoft 365 permissions
- Recents based on your last save locations
- Favorites based on any favorite locations you have bookmarked using Mail or other MacroView DMS products
Additionally, a list of selected items will be displayed at the bottom of the screen to indicate the emails and/or attachments that will be saved during the process based on your selected email.
By default, the only the email message will be selected, however this behavior can be customised in the Items selected for saving option in Settings.
Once you have confirmed the items to save, select a location or open the SharePoint, Teams or OneDrive sections to search for a location in that area.
Tip: To navigate to previous locations, select the back arrow .
After you have chosen a valid save location, select the the Save icon , or the Save here button.
Step 4: Properties
Select a content type from those available in the save location, and enter any related metadata.
See this article for more information on the default email filename and how it prevents duplicate copies of the same email from being saved in the same location.
If the selected email content type is configured in SharePoint to capture the non-personal metadata of an email (such as To, From, Subject etc.), this information will be captured making it even easier to find these emails using search.
When done, click Finish.
Step 5: Files uploading
The files uploading screen provides a link to open the location where the email and/or its attachments have been saved.
This screen can be skipped to further minimise the amount of windows displayed, by enabling the Automatically close/restart when uploading option in Settings.
Once the save is complete, the email will be marked as 'Saved to SharePoint', and a category will be added with a link to its save location.
If the Move emails to folder after saving setting is enabled, the email will automatically be moved to the configured Outlook folder.
