You can create personal views of document libraries to show the columns and items that are most important to you when working with MacroView DMF or MacroView Message. Personal views allow you to define the metadata columns that are displayed along with the column order and item filtering.
Any public or personal views that have been defined in the browser or in MacroView DMF or Message can be selected from the view menu in the MacroView DMF and Message File List Toolbar
When personal views are enabled in DMF or Message options, and you have appropriate permission in SharePoint, you can also create your own personal views (that only you can see) directly from the File List Toolbar.
Creating a personal view
To create a personal view, select an existing view, make any required modifications such as adding and removing columns and click the Save view as button.
Then enter a name for your personal view and click OK.
You cannot save new personal views with the same name as an existing public or personal view. If the name entered matches an existing view the OK button will be disabled.
The new personal view will be created and automatically selected, and will retain the following aspects of the current view as it is displayed.
- the displayed columns
- the order of the columns
- the primary sort order as selected in the file list
- the secondary sort order if defined in the view definition in the browser
- whether or not the view shows files in folders or without folders
To change the column order, simply drag and drop the column header to the desired position.
To add or remove columns, right-click on a column header and select Hide this column or Show/hide columns
When Show/hide columns is selected you can add and remove columns by selecting or deselecting them as well as reordering them by selecting a column in the list and using the Move up / Move down button or drag and dropping it to a new location.
Any filtering applied to the current view using the column headers in the file list or using the Find Files function is retained but not saved in the personal view definition. To apply specific filtering or to change the secondary sort order, create the personal view and then edit it in the browser.
Note: Any changes you have made to the current view will be lost if they are not saved and you either select a different view or select a different location. To save changes either click Save as view to create a new personal view or select Save view from the drop down menu to update the existing personal view.
Editing a personal view
To edit a personal view, first select it from the view menu on the file list toolbar then drag and drop the columns to reorder them or show/hide columns by right clicking on a column header. When you have made all of the desired changes, click the down arrow in the Save view as button and select Save view.
You cannot edit or delete a public view so these options are only available when a personal view is selected. From this menu you can select:
- Save view as to create a new personal view
- Save view to update the selected personal view
- Rename view to change the name of the selected personal view
- Edit view to edit the view definition in the browser. This can be useful if you want to change the secondary sort order, change the view filtering or make the view a public view.
- Delete view to delete the selected personal view. When a personal view is deleted the default view for the library will be selected automatically.
Tip: If folder name views are enabled, you can create a personal view that will be selected by default when using your most common folders.
Note
- Personal Views are available on Browse and Favorites modes.
- You can create a new personal view from any existing public or personal view.
- Save view as always creates a new personal view. You cannot save over, delete or edit a public view.

Q: Where are the user's personal views saved?
A: Personal views are stored in SharePoint, creating a personal view in DMF is really the same as creating one in the browser. We just surface this SharePoint feature, it is not DMF specific.
Q: Can one saved personal view be saved or used for multiple libraries?
A: Each personal view is unique to the library it was created in and cannot be used in other libraries as the metadata columns may differ.
