How to save in DMS Next
The two primary methods for uploading files in DMS Next are:
- Drag and drop
- Using the Upload button on file list
Drag and drop
To upload using drag and drop, select file(s) from your device or file share and drag them to the file list where a highlighted zone will appear.
Alternatively, you can drag and drop files to a document library, document set or folder directly in the tree.
Upload button on file list
The Upload button found on the file list toolbar can also be used to upload files to SharePoint Online, Teams or OneDrive.
Selecting the button will open your device's file manager, allowing you to browse to find file(s) to upload to the chosen location.
Viewing upload status
When uploading files, a toast notification will appear in the bottom right of the screen indicating the upload status.
This example shows files were saved correctly.
The Action Required message will appear if any files are not saved successfully.
Select the Detail button on the notification for more information on how to rectify the issue and attempt to upload the files again.
In this example, the user is informed that a file with the same name exists in the chosen location, with several options presented to fix the issue and save the file. These options include:
- Replace: Uploads the new file, replacing the existing file in the location.
- Rename: Allows the user to manually change the name of the file.
- Resolve Name: Assigns a number suffix to the file name.
- Use Naming Rule: An advanced method to update the file name using configurable rules.
To discard the upload and cancel, select the Bin icon.
Adding metadata to files
To update or add SharePoint metadata to a file, select the Set properties button.
A Properties pane will then be displayed, allowing you to enter metadata for the uploaded file, appropriate to the SharePoint Content Type the file is assigned.
Bulk properties
If you would like to set the same properties for all uploaded files in a selected location, select the Set Properties button next to the name of the save location.
File options
The SharePoint save location or saved files can be shared by selecting the corresponding Share button.
Once selected, a Share dialog will appear, allowing you to add a message with the share link, and choose users or groups to share with in Microsoft Teams.
Open Location
The save location can also be opened in the browser by selecting the Open location button.
Hiding files
Uploaded files can be removed from the upload list once you have finished adding metadata (if applicable) by selecting the Hide button.
Clearing the pop up notification window
Select Hide Completed to close the notification window and hide successfully uploaded files once you have finished.
This will then clear the upload list and remove the upload status notification in the bottom right of the screen.
