There are a number of pre-requisites that need to be in place in before MacroView Managed Filing will function. Below are the most common issues and workarounds.
No 'Corporate Rules' tab on Email Filing Rules dialog
In some earlier versions of MacroView DMS and DMS Pro the Corporate Filing Rules tab on the Email Filing Rules dialog is not present if no rules file has been specified. In more recent versions the tab is always visible.
If you are using an earlier version, once a Corporate Filing Rules file has been defined in the registry the Corporate Rules tab should be visible on the Email Filing Rules dialog.
If it is not visible, check the following:
- Is the version of MacroView DMS or DMS Pro 8.6 or later?
- Has the rules xml file been specified in the following location in the registry?
Computer\HKEY_CURRENT_USER\Software\MacroView\DMF\UserOptions\CorporateRulesFilePath
- Does the file the registry setting is pointing to exist, and do you have read access to it?
- Is the XML definition in the corporate rules valid?
In DMS and DMS Pro version 8.6.80 or later the Corporate Rules tab will be always be visible and will display an error message if point 3 or 4 above are not correct.
The 'Corporate Rules' tab is visible but my rules do not fire
If the tab is visible on the Email Filing Rules dialog and is not showing any error messages but your rules are not firing then check the following:
- Do you have a valid license for MacroView Managed Filing? Click Refresh Licenses under DMS Options to make sure your license is up to date.
- Has the rules file been picked up? The rules file is loaded when Outlook is started. If there have been changes to the rule file restart Outlook.
- Has Managed Filing been disabled? Option the Email Filing Rules dialog, click on the Corporate Rules tab and check if it is disabled.
- Has the individual rule been disabled?
- Rules are processed in the order listed and once a rule is matched no further rules are checked if the Stop rule evaluation after first matching rule option is checked. Is this option checked and an earlier rule in the list preventing the rule you are expecting to apply from firing?
- Has a search index been run? Advanced tag based rules rely on search to locate matching save locations so if a search index has not been run or the location has only just been created Managed Filing may not be able to located it.
- By default a sent email will not be filed by Managed Filing rules if it takes longer than 30 seconds to send. For instance if you are using an Outlook rule to delay the delivery of messages. This time can be increased by changing the value of the registry setting SentItemsProcessPeriod, which can be found under Computer\HKEY_CURRENT_USER\SOFTWARE\MacroView\DMF\UserOptions.
Emails are being categorised in Outlook as Not Auto Filed by Managed Filing
When a filing rule is matched but the email is unable to be saved, the email is categorised in Outlook as Not AutoFiled by Managed Filing. There are number of reasons this can occur.
