MacroView Managed Filing rules are defined in an XML file stored in a SharePoint library. There can be multiple Managed Filing rules files stored in SharePoint so that different business functions or users can have different rules applied.
Provided your organization is licensed to use Managed Filing, and users have at least read access to the location/file, once they point MacroView DMS at the rules file the rules are applied to emails sent and received from any monitored Outlook mailbox.
Setting the rule file location
The location of your Managed Filing rules file may have been set and locked down by your administrator, in which case you will not be able to change it. If it is not locked down, you can specify the rules file on the Managed tab on the Manage Rules dialog in Outlook.
The rules will then apply to sent and received emails in your monitored mailboxes. See Using email filing rules with multiple mailboxes for more information.
