Welcome to MacroView DMS
Thank you for choosing to evaluate MacroView DMS. This software is built to help you and your business easily manage documents, emails and more with your SharePoint Server on-premises.
This guide contains everything you need to get started with your first installation. Remember to sign into the MacroView Help Centre and have your license key ready before beginning this tutorial.
If you don’t have a MacroView Help Centre account, you can create one right now by clicking Sign in in the top right and selecting Sign up. If you haven’t got a license key you can evaluate MacroView DMS free for 30 days by completing our evaluation form.
Note: MacroView DMS is a sub-set of MacroView DMS Pro. Where you see DMS Pro branding in the options menu, it also applies to DMS.
You must have a Help Centre account and hold an evaluation or full license for MacroView DMS to proceed with this guide.
Section 1 - Server-side installation
Step 1: Install MacroView server components
When installing MacroView DMS or DMS Pro with an on-premises SharePoint server you should always install the server before installing the client. Note that both MacroView DMS and DMS Pro use MacroView DMS Pro Server.
Server prerequisites
MacroView DMF Server requires:
- Microsoft SharePoint Server 2016, 2019 and SE
Server installation
- Download the version of DMS Server that corresponds with your version of Microsoft SharePoint from the Downloads site.
- Log on to one of the Web Front Ends (WFE) in your SharePoint farm.
- Local Administrators group on every WFE
- SharePoint Farm Administrators groupUse the account that the SharePoint Farm was setup with or an account with membership to all of the following:
- The SharePoint_Shell_Access role on the Configuration Database - (see also this knowledge base article)
- Ensure Anonymous Authentication is turned off on the web application you intend on using with DMS. Should you require Anonymous Access then create a new web application which extends the same content store.
- Copy the MacroView DMS solution to C:\ and run the following command in Management Shell to install the solution to all WFEs in your farm:
- Add-SPSolution -LiteralPath "c:\temp\MacroView DMF.wsp"
- SharePoint 2016, 2019 and SE
- Go to System Settings in the SharePoint Central Admin Console
- Under the Farm Management heading click on Manage Farm Solutions
- Deploy the MacroView DMS(DMF) solution

Step 2: Activate your MacroView DMS license
- Activate your License
- Go to System Settings in the SharePoint Central Admin Console
- Under the MacroView Licensing heading click on Manage Product Licensing
- Click Online Activation
- Enter your Licence Key and click Next
- Tick MacroView DMS and click Finish

If your server fails to activate using the Online Activation method then, on a computer with internet connectivity, navigate to http://www.macroview.com.au/licensing.
On this page, you will need to enter your License Key and upload the Activation Request file.
You will be prompted to save a License (XML) file. This file can then be uploaded into the “License Activation” page in Central Administration to complete the activation process.
Understanding your MacroView license
It's important to remember that your MacroView license is not tied to an individual user, but to your:
- Server Farm for SharePoint Server (on-premises), and/or
- SharePoint Online Tenancy, for SharePoint Online (Office 365)
This means that your SharePoint environment only needs to be licensed with MacroView once, and the amount of users able to connect are limited by the amount of user seats your organisation has purchased.
Step 3: Activate MacroView DMS search
MacroView DMS and MacroView DMS Pro allow you to perform keyword and email metadata based searches from within Outlook using SharePoint 2016, 2019 and SE
To enable this functionality you must activate a feature on your web application from SharePoint Central Administration:
- In SharePoint 2016, 2019 and SE navigate to Application Management and click on Manage web applications.
- On this page, select a Web Application and click on Manage Features in the Ribbon.
- In this view, find MacroView DMF Search and click Activate.
- Run a full search crawl of the Content Source that contains that web application. Be sure to setup a schedule for incremental crawls so your users can find newly saved documents.
Note: If you are using Fast Search Server there are additional steps, see section 5.8 in the Install and Configuration Guide.
Step 4: Creating MacroView Libraries and Content Types
Creating a sample location with MacroView DMS can be done using Provisoning extension
Alternative method that does not require MacroView provisioning.

Section 2 - Client-side installation
Step 1: Download and install MacroView DMS client
The first step involves downloading and installing the MacroView DMS client to your local machine.
- Close Microsoft Office applications (Outlook, Word, Excel and PowerPoint) and Adobe Reader.
- Download the version of MacroView DMS that corresponds to your Windows installation from the Downloads site.
- Double-click the downloaded file and run the MacroView DMS Setup Wizard.
Once the wizard is complete, MacroView DMS will be installed on your system.
Step 2: Configure your SharePoint server
In this step you will enter your SharePoint server details for use with MacroView DMS.
- Open Microsoft Outlook.
- Click the MacroView ribbon menu, choose Options and go to the Servers tab.
- Click Add to associate an existing SharePoint site collection with MacroView DMS.
The Server window allows you to enter your SharePoint server location.
Select Advanced options to display the Server window.
- In the Server Name field, enter a display name for your SharePoint Tenancy. This will appear as a new top-level node in the Browse mode of MacroView DMS.
- In the Server Path box, enter the URL path to your SharePoint Tenancy.
- In the Server Type drop-down, select SharePoint Server.
- Your license status will change to if you correctly followed the licensing steps above.
